MasterDistiller: Production Records

A production represents everything that happens to transform raw materials into spirit, it encapsulates any sub-processes that occur e.g. Masing, Fermentation, Wash Distillation, Spirit Distillation. It represents the final spirit produced for filling into Casks, Containers or storing in a tank (Vatting). 

To Create a New Production Record:

  • MasterDistiller > Production > Production Records
  • You will be presented with a listing of existing production records with the most recent at the top of the list


  • Click “New”

  • You will be presented with the Production Record Form
  • Each tab to be completed is explained in the headings below

Production Records - Identification

  • Date - Will pre-populate to the current date but can be altered (this is the date production started.)
The following are calculated automatically:
  • Year - Computed from date above
  • Sequence  - Generated based on existing productions this year i.e. the x production of a given year
  • Code - Combines the year and sequence for a human-readable unique identifier.
The Following can be defaulted in settings or completed manually on each record:
  • Spirit Producer i.e. The Distillery (or brand name if contract producing)
  • Spirit Type e.g. Single Malt Scotch Whisky
  • Distillate Type e.g. Pot, Triple Distilled etc…
To default these values for each production:
  • MasterDistiller > Configuration > Settings
  • Under the “Production” heading select the relevant value from the drop-down in each of the defaults


  • Click “Save”


Production Records - Inputs

Inputs consist of two types “Materials” - raw materials used to make spirit and “Alcohol from containers” - Used for certain spirit types such as gin where Grain Neutral Spirit is consumed in production.

  • Under Materials Click “Add a line”
  • Click the material being consumed e.g. Malt - 001
  • The majority of other fields in this instance should pre-fill other than quantity
  • Input the Quantity being consumed in the relevant unit of measure

Repeat the above steps for each material consumed during the process.

Production Records - Outputs

Creating Outputs assumes that either existing casks/containers that are being topped up have been created or that for new casks or containers that will be created a relevant asset is available and has already been entered into the system.

  • Defaults can be setup for any vessels being created in outputs in the fields above the outputs.
    • Filling ABV e.g. 63.5
    • Filling TCF e.g. 1
    • Filling Destination Type e.g. Cask
    • Filling Category (For tracking casks/containers in inventory later on)
    • Filling Location i.e. where the cask/container will go e.g. Loading Bay
  • Filling these out will pre-populate these values for any cask/container that is being created from the outputs

  • To add an output click “Add a line”
  • You will be presented with the Liquid Transfer form

  • Source Vessel Type & Source Production Record will be pre-filled based on the production record the output is coming from so they do not need to be altered.
  • Destination Vessel Type will pre-fill Based on the default selected above
  • From Destination Cask/Container/Vatting select an existing vessel you wish to top up 


OR

  • To create a new vessel click the [+] button on the right-hand side of the destination cask/container/vatting field
    • You will be presented with the vessel creation wizard form
    • Select the relevant asset by it’s unique code
    • Everything else will be prefilled if entered in the step above, otherwise enter the location and product category for the cask.
    • Click “Create Vessel”
    • This will create a new Cask/Container/Vatting ready for filling

  • Enter the Measurements:
    • Bulk (Observed)
    • ABV (Will pre-fill from the step above if input)
    • TCF (Will pre-fill from the step above if input)
    • All other measures will be calculated based on the fields above
  • Click “Save & Close”

Repeat the above steps for each Output from the Production Record.

Production Records - Confirming & Validating

Production records have three states Draft, Confirm & Validate. 

  • Draft is the default state and is used when creating the production record
  • Confirm makes the record read-only and reserves any associated stock for the raw materials going in and ready to be validated by someone with ‘Distillery Manager’ permissions
  • Validating the record will complete any of the reserved stock moves for the raw materials and confirm and validate the outputs
  • This can be done with the buttons on the top left-hand side of the record and the state can be tracked in the state bar on the top right-hand side of the record

After validation, the record cannot be amended and all associate costs of outputs are allocated based on the raw materials and overheads that are declared.
